What is the recommended procedure for swapping a battery with another in midst of working and when the battery indicator indicates you are running low. Do you force standby/hibernate and swap the batteries or is there some other procedure?

I am using a T400, running XP and using 6-cell batteries.

I'd say hibernate since hibernation requires zero power once hibernating, and stand by if i'm not mistaken only put's the computer into "low-power" state meaning it still cannot be swapped since it requires power to save it's state on RAM.

I believe hibernate saves everything to RAM, and turns the computer off, but don't take my word for it.

Sleep is suspend to RAM, which is volatile and requires a constant power source. Hibernate is suspend to hard disk, which is non-volatile.
Though it may just be superstition, I still would not recommend swapping out your battery in hibernation. I would always shut down and reboot. -
Therefore, if you are swapping batteries, the best method is to hibernate your computer. Alternatively, you can right-click on the Power Manager battery icon and choose "Remove and Replace Battery," but that really does the same thing. -
You need to either hibernate or shut down. If you standby and remove the battery, your open programs will be wiped and it'll just load the operating system from the beginning.

Right click your power manager icon on the task bar and select "Remove and Replace battery". I believe that will function as you intended.
